What is single-visit quoting?

A painting job is usually priced twice. This is the page for the idea that it should be priced once, and the test that decides whether a tool qualifies.

Single-visit quoting is pricing, presenting and closing a job in the same visit it was measured, with no signal required and no second event. It is a property of the work, not a feature: either the client has your real number before you leave, or they do not.

The second event

A painting job gets priced twice.

The first time is on site. The client is beside you, the tape is in your hand, you can see the 3.6 metre ceilings and the flaking sill, and no competitor is in the room. Their trust will never be higher than it is at that moment.

The second time is hours later, alone, from notes and photographs and memory. That is the second event, and it is where the job is actually priced.

Quoting software is very good at making the second event faster. It just never asked whether the second event should exist. Templates, libraries, automatic scope writing and one-click documents all make the same assumption: that you will walk the job, drive home, and build the number later. So they optimise the later.

The kitchen table

The second event has an address. It is the kitchen table at twenty to ten: the laptop open, the tea gone cold, the kid's homework pushed to one side, and a job you walked six hours ago being rebuilt out of three photos and a number you half remember.

Painters have priced this way for a century and the trade is proud of it. “I can walk a job and tell you” is a real skill, earned. It is also where the margin goes, because judgement rounds. A job that reconciles to $12,673.21 becomes call it twelve and a half, and the $173.21 is gone without ever appearing on a page.

Pricing from a photograph does not fix this. It replaces the painter's guess with a model's guess and bills monthly for it. A faster guess is still a guess.

The five rules of membership

A category is only real if it can be tested, and a test is only a test if something can fail it. These five rules describe single-visit quoting. They belong to the idea rather than to any product, and any estimating tool can be held against them, this one included.

Kastrion scored against the five rules, August 2026
RuleKastrion today
1 Produces a real, non-rounded price on site, from the business’s own rates.Yes Yes. Priced to the cent from your rates, on the job.
2 Works with no signal.Yes Yes. The whole calculator runs on the device.
3 Produces a client-ready document in the same visit.Yes Yes. The free one-page record exports on site.
4 Can be accepted and deposited in the same visit.Partly Not yet, except in the Queensland pilot. Everywhere else, no.
5 Prices identically whoever holds the device. No No. Kastrion lives on one device today, so a second person quoting on a second device is quoting off their own rates.

Two of those five are not a yes. Acceptance and deposit inside the visit runs in the Queensland pilot and nowhere else yet, and rates still live on one device, which means handing the iPad to your estimator does not hand over your pricing. Both are on this page because you would find out anyway, and finding out later is worse.

The other three are the ones worth checking us on: open the estimator with no connection at all and see whether it prices the job.

Why any of this matters

Every hour spent on the second event is unpaid. Every price rounded at the kitchen table is margin handed back. Every job that goes to whoever answered on Saturday was lost in the gap between the visit and the number.

Closing that gap is the whole idea. See what the software does, or read how to quote a painting job.

Frequently asked questions

Is single-visit quoting just quoting on site?

No. On site is a place. Single-visit quoting is about whether a second pricing session happens at all. Plenty of painters take measurements on site and still build the number that night, which is two events. The test is whether the client could have the real price, in writing, before you drive away.

Does Kastrion pass its own test?

Three rules of five today. Acceptance and deposit in the same visit runs in the Queensland pilot only, and rates do not yet follow a business across devices: Kastrion lives on one device today. Both are on the scorecard above rather than left for you to find out later.

Why publish the rules you fail?

Because a category needs a test that can be failed, and one written so it always flatters its author is marketing, not a standard. The rules belong to the idea, not to Kastrion. Any estimating tool can be measured against them, this one included.

What happens with no signal?

Nothing changes. The calculator, your rates and your saved quotes are on the device, so a new build, a basement or a black spot prices exactly the same as anywhere else. A tool that needs a connection to produce a price cannot promise a single visit, because some visits have no connection.
